Safety Advisory Group
The Mid Devon Safety Advisory Group (SAG) has been formed by us to bring together all the relevant regulatory authorities to assist event organisers to ensure their events are conducted safely and lawfully. It is an impartial, advisory group and provides a single point of contact for coordinated and consistent advice. The SAG cannot take any decisions - its role is advisory. The ultimate responsibility for event safety lies with the event organisers and their management teams.
You should give notice of your event at least three months before it is taking place. This is to give us time to understand the basic details and areas of planning that may require additional advice. You may be asked to provide an Event Management Plan, Risk Assessment, Emergency Procedures, Traffic Management Plan and a location map as appropriate for your event.
Attending a SAG meeting
If you are planning to hold an event in Mid Devon please complete the Event Notification form and send it into SAG@middevon.gov.uk
Membership
Mid Devon's SAG core membership:

Other representatives may be invited from time to time and the SAG may decide if appropriate to extend the membership on a permanent basis.
Event Management Plan
If you are running an event in Mid Devon it is advisable to produce an Event Management Plan outlining all aspects of your event and responsibilities.
Areas you may wish to include within an Event Management Plan are:
- Details of areas of responsibility and contact details
- Risk assessments
- Alcohol consumption and drugs policy - including how you will avoid underage alcohol sales
- Traffic management - including any temporary traffic orders
- Car parking
- Stewards
- Security - site and personnel, entry policies for age restricted events
- Access routes for emergency vehicles in and out of the site
- Evacuation plan - in the event of an emergency
- Noise management
- Food hygiene
- Health and safety
- First aid
- Fire safety

The purpose of this document is to notify the ambulance service of your event is taking place. It allows for all the key information needed to be captured in one place. Event organisers are asked to notify South Western Ambulance Service of their event, a notification form and self-assurance form can be found on their website.
